Hello everyone! My name is Keer, and this is Fleap’s Academy. Today, we will be teaching you guys about how to organize emails. First of all, emails are usually a very important form of communication for lots of people in the world. And being able to keep it organized can really improve your efficiency during the day, and it help you keep a clear mind since you won’t have to remove all of the spam emails one by one!

Gmail

We are going to be starting with Gmail, but you can check the timestamps in the description if you are using another mail service. With Gmail, one of the best ways to organise mail is by using their feature called “labels”. To create one, you just have to click the plus button beside the “Labels” text on the left-hand side of the screen. Here, you can give the label a name. No need to worry about the rest.

Now that you have your first label, what you need to do is click on the “show search options” button in the search bar. Here, you can configure which emails should get your label. We are going to be modifying the parameter for “Has the words”. I’m just going to write in “Subscribe” as an example. Then, you want to click “Create filter” at the bottom of the pop-up. So now, you want to check the option “Apply the label:” then add in the label you made earlier.

And it’s that simple! You have just organized your email a little bit further! Customize the “from” prompt by maybe adding all of the spam emails! To add multiple, write “OR” in full caps to seperate each email.

Yahoo mail

Moving on to Yahoo mail, we will be using folders and filters this time for organization. Firstly, we are going to need to make a folder. You create a folder by bringing your mouse down in the bottom left corner to the “New Folder” button. Now you can type in the name of your folder.

Now that you have a folder, press the settings icon on the top right of the screen. Then, click “More Settings”. Next, click on “Filters”. Found on the left-hand side of the screen. Now, you can click “Add new filters” to create a new filter. Let’s give it a name. After naming the filter, we are going to click on the text “Body” under the “Set Rules” section.

We are going to select a filter criterion from this drop down and that will be “contains”. Then, I’m just going to type in the word “Subscribe” as an example for the value. Finally, we just need to select a folder to move all emails following the criteria to. I’m selecting the folder we made earlier. Now click “Save”, and you are all done!

Outlook

Finally, we have Outlook. We will be using folders and rules to organize our email. First of all, you want to click on the “Create new folder” button at the bottom left-hand side of the screen. Now, we are just going to type in whichever name we want for this new folder.

Now that we have a folder, it’s time to create a new rule. At the top, you want to click the three dots, then select “Rules”. Click “Manage Rules” to open this rules screen. Click “Add new Rule” and follow by giving it a name, a condition, putting in “Message Body Includes” for the condition, then adding some words to look for. Press “Enter” or “Return” on your keyboard to add a word or phrase.

Now, we will be choosing the action “Move to”, then we will select our folder by clicking on “Add to a different folder” then the first folder we made. Now you can click “Save” and you have done some automation in Outlook mail!
